Answer this question: How confident are you, that if challenged, your organization could demonstrate that your electronic information is accurate, accessible, and trustworthy? I mean all electronic information, documents, emails, voicemails, faxes, databases,etc.

This is one of the key questions posed by John Mancini, the head of AIIM the leading association around all things content related.

As a supplier of ECM (Enterprise Content Management) solutions this is where we live every day. Every one of our clients and prospects is trying to improve their organizations processes by using electronic information and tools more effectively.

Here are some key findings from Mancini’s annual state of the ECM world report recently presented at the AIIM annual conference. The statistics are taken from a global survey of all size and types of organizations.

• Over 50% have marginal or no-confidence in the integrity of their electronic information
• Much data today is digitally created but still ends up in paper form, why?
• If sued and data had to be collected 65% of respondents would take over 1 month to gather the data, 11% said over 2 months
• 52% of respondents are not confident that their email is managed effectively as organization records

Wow, some of these numbers and others in the study are scary. These days most organizations are literally dependent and interdependent with others upon electronic information. I tend to call such things assets.

Do you manage your electronic information as an asset, like you would an employee, a building, a machine, a customer? Imagine of all of the data related to your organization was suddenly gone, would you have an organization that could function.

Managing electronic data as an asset is only one aspect of this whole topic. There are huge process improvement opportunities that can be addressed which usually means cost savings and faster performance.
